An event is well planned in case guests know beforehand what they can expect and then get it during the event. Your event will lose its glimmer e.g. if your attendees don’t know when to sit down for a PowerPoint presentation or when they should gather around the discussion table, etc.. Such seemingly little details can spoil the whole impression of the event regardless of the fact that you may have the most superb furnishings, the best food, the finest facility…
So make sure you have a complete list of all the activities that you want to happen during your event before making your checklist of necessary stuff. Organize activities in a logical way; once your event’s activities are established in a smooth order, make sure that you have enough time to make your plans come true.
Allot some time for each activity that will happen during the event. Remember that allocating too much or too little time for each activity will result in bored or irritated guests who might leave your event early.
There is no need to include all of the activities in the printed program, save some of them to surprise your guests. Moreover, you’d better avoid a too detailed event program so that you can make slight changes during the event. It should be structured enough to keep things organized, but at the same time it should be flexible to meet unanticipated needs. Not everything will happen exactly as planned; e.g. your guest speaker might get caught in traffic or might have a hard time finding a place to park, so make sure your event’s activities can be switched interchangeably to keep the event running.
Lastly, use your event’s program as a guide that provides both stimulation and relaxation.
